Westmoreland County Blind Association Westmoreland Cultural Trust ![]() The Westmoreland County Chamber of Commerce seeks an engaging and outgoing sales and marketing professional to serve as Director of Membership Services for one of SWPA's largest and most active business associations. This full-time position is responsible for membership recruitment and retention, various committee leadership roles, event support, chapter management, branding initiatives, and sponsorship/ad sales. Westmoreland County Chamber of Commerce Director of Membership Services Position Description • Hours: Monday through Friday 8:00 a.m. – 4:30 p.m., and various Chamber events • Compensation: Exempt – Salaried • Benefits and vacation as outlined in the organization policy manual • This position reports directly to the Westmoreland County Chamber President & CEO QUALIFICATIONS: The Director of Membership Services is chiefly responsible for membership relations, recruitment and retention. In addition, the position is responsible for advertising sales, procurement of sponsorships, various event planning/execution, various committee leadership, facilitation of networking events, database management and general office work. A candidate with a bachelor’s degree and a minimum of four years of demonstrated successful sales and marketing experience is preferred. The candidate is expected to present a professional appearance while serving as a key Chamber representative. S/he will demonstrate courtesy, diplomacy and the highest level of professionalism in all dealings. The ability to work cooperatively with current members, prospects, committees and fellow staff members is essential. GENERAL DUTIES AND RESPONSIBILITIES: Duties and required communication skills include the unassisted use of Microsoft Office, MS Outlook, Weblink database management software (training to be provided) and the ability to clearly and concisely report recruitment/retention activities through the spoken and written word with a keen eye for detail and accuracy. Accurate and timely record keeping and good organization skills are vital. Familiarity with Westmoreland County and its business community is a prerequisite for this position. The incumbent shall provide his/her own transportation and is expected to spend as much as one quarter of the work week outside the office visiting current and prospective members. SPECIFIC DUTIES: It is understood that this position requires nearly equal time to be spent retaining existing members as it does on recruiting new ones. Therefore, the Director of Membership Services will have expected achievement levels set for him/her in the areas of: Responsible for all sales of membership and targeted advertising Work from existing lists, seek out leads, and keep apprised of new businesses establishing in Westmoreland County service area and invite them to become part of the Chamber Attain a minimum number of existing members contacted – 50 per month Attain a minimum number of member prospects contacted – 50 per month Attain a minimum number of ten (10) net new members each month Develop, maintain and update membership recruitment materials as necessary Coordinate a bi-monthly orientation program for new members/new contacts Coordinate, set agenda, and attend monthly Ambassador Committee meetings Assign, coordinate, and track all Ambassador activities Coordinate and distribute new member materials in a timely fashion Provide and track an “exit survey” with all dropped member accounts Carry out the advertising sales effort associated with the annual membership directory Develop and market annual sponsorship investment packages Pursue all accounts over 31 days past due for renewal (membership dues only) Attend, and help facilitate mixers, ribbon cuttings, seminars, and other events Attain expertise in Weblink Connect to run reports, register events, process memberships, etc. Secure sponsorships to fund and coordinate the LHC & MBPA student scholarship programs Help to recruit booths for the annual Holiday BASH & B2B Expo Serve as the primary liaison between the Chamber and its Chapters throughout the County Other duties as assigned aimed at aiding in the recruitment and retention effort and geared toward the advancement of the organization’s mission. The Director of Membership Services will be called upon, and will find it advantageous, to attend all Chamber functions to aid in the recruitment and retention effort. Further, the Director of Membership Services will be asked to participate in various outside networking opportunities as they are presented. The Director of Membership Services is expected to have a strong working knowledge of Chamber operations, and be able to address questions from members and prospects as they arise in the field. All contacts will be recorded in the prescribed format set by the Chamber in order for the Director of Membership Services to be compensated. Failure to submit such information in an accurate and timely fashion may cause commissions to be nullified or delayed. PROSPECTS: The Director of Membership Services, along with the Ambassador Committee, and Chamber President & CEO, shall determine lists of member prospects. Contact is defined as an acknowledged personal visit, phone call, letter, or email. RETENTION: The Director of Membership Services efforts are expected to achieve a high retention rate for the Chamber, and courtesy calls to members are expected to be part of the routine duties. Membership accounts that are 31 days past due will become the responsibility of the Director of Membership Services for follow-up and retention of the account. For the purpose of retention calculation, members who are demonstrated to be closed, out of business, or that have moved from Westmoreland County will not count ‘dropped’ members for goal/incentive purposes. COMPENSATION SCHEDULE: The Director of Membership Services will receive a base salary in an amount determined by the President & CEO in conjunction with the Executive Committee of the Board of Directors. In addition, commissions/incentives will be paid once per month on all new collected dues and appropriate ancillary sales (directory ads). PROSPECTS/NEW MEMBER JOINS: The Director of Membership Services, along with the Ambassador Committee and Chamber President & CEO, shall determine lists of member prospects. For the purposes of commission, being DIRECTLY responsible for closing a new member account is defined as initiating a personal visit, initiating a phone call to a prospective member, making first contact via letter or email and then following up until the member joins the organization. As a rule, walk-ins; rejoins; and unsolicited online joins will not be included in commission calculations. EQUIPMENT: The Director of Membership Services will be provided with and expected to use chamber supplies, telephone, computer, desk and typical office equipment in the discharge of his or her duties. Special requests for materials should be made through the Chamber President in advance. |
